Before having
your business letterheads printed, there are many factors to consider –
remember once printed, it’s too late to change your letterheads, so
it’s far better if everything is correct first time.
Legal requirements for letterheads
This varies according to the type of business that you run.
Limited companies must show the name of the company, the country of registration, the company registration number, the address of the registered office and the address of its place of business, if different. If you decide to list the names of the directors, every director must be shown.
Partnerships must state on letters the name of all partners and the address of the principal office or alternatively indicate where a list of partners may be inspected.
Sole traders whose own name is different from their business name, will need to include their own name and business address on all business letters.
Paper and ink colours
Next consider what and how many colours you would like. Many printers, including
Qubic Print, will have a range of standard colours to select from. Alternatively
you may have a specific colour in mind, in which case you should consider
using pantone colours. If you’re looking for business letterheads with
lots of different colours, then full colour printing would be best.
Traditionally stationery is always printed using white or cream paper. Although there are lot’s of different paper colours available, remember that text on the letterhead will need to be clearly legible, which is why white and cream are so popular.
Design and ‘look’
It’s amazing how different designs can vastly alter the overall appearance
of the same information. The nature of your company and industry should have
a big bearing on the layout and style of your business letterheads. Would
you prefer a traditional, modern or arty look? When briefing designers, be
sure to give them clear guidance on the overall ‘look’ you require
and if possible provide them with examples and references.
Typestyles
As with design, the typestyle in which contact details are displayed will
create an impression of your company. There are hundreds of different typestyles.
Some have more modern appearances, whilst others look very traditional. Certain
typestyles can be harder to read than others, which should also be taken into
account.

Your letterheads should display appropriate and accurate contact information.
Do you have more than one address? Which one should you show on your letterheads
and where should they be positioned? If you have more than one site you may
want to list the locations and their telephone numbers.
Remember with most people having access to computers and the internet, it’s good to include a general email address and website.
Which telephone numbers should you include? If you’re frequently away from your main phone perhaps a mobile or home number should be shown. Any freephone numbers should be clearly stated as being ‘freephone’.
Marketing and advertising lines
You may wish to incorporate any company slogans and advertising lines, and
you’ll need to consider where on the letterhead they will appear. Remember,
on many occasions business letterheads will be seen by potential customers,
so it’s a good idea to highlight the types of products and services
you supply.
Professional Bodies
If you’re a member of an industry association, federation or institute,
this information can be included. Many professional bodies have well recognised
logo’s that when used on business letterheads, will give a level of
kudos to your company. Always check with the professional body that you have
the latest logo and that you are authorised to use it.
